This senior leadership role in Graduate Affairs defines business strategies and provides broad leadership and coordination to a team of staff in Graduate Affairs that manage the onboarding of students from admission to arrival at the University and upon exiting the University when academic requirements are complete.
The Senior Operations Manager is responsible for the strategic development of student reporting utilizing cutting edge reporting tools, working closely with the University’s Registrar, Director of Admissions and Enrolments, Director Graduate Development and Services and Manager for Alumni Affairs. The position will also develop all operational, workforce and risk management plans and ensure these plans align with the Graduate Affairs budget, with the budget development being a key responsibility of this role. Graduate Affairs policy and procedural development will also be led by the Senior Operations Manager. This position also provides strategic direction on all Graduate Affairs applications, in particular the CRM tool, knowns as SLATE.
Reporting to this position are a Senior Business Analyst, a Senior Systems Analyst a Business Manager (with 2 further reports), and a Student Liaison Specialist and a team that supports the onboarding and exiting of students and their dependents. . Ad-hoc project teams, that may include a small group of IT professionals is also expected to support this role in project related system development activities.
The position will liaise closely with the Dean of Graduate Affairs and fellow Graduate Affairs Directors/Managers and with KAUST senior and executive management on a range of matters, in particular in development of strategic provision of student-related information and system development, student residences, financial and insurance matters and student onboarding and exiting.
Major Responsibilities:
Extensively analyze the requirements of the University in relation to student information and significantly improve the reporting capability through promoting greater ownership and understanding of student data; utilizing cutting edge technology that will deliver single source of the truth student information with engaging visualization of the data.
Lead the functional design of the SAP student system (SLcM) in relation to all non-academic related issues, including travel, finance, arrival and exit leading to improved efficiency through greater automation.
Drive the strategic development of the Graduate Affairs CRM and its linkages to the student system (SAP), the admissions application system, KAUST Health, HR Relocation, Housing and Gove
ment Affairs.
Develop the Graduate Affairs annual budget and monthly reporting, responding to queries as needed from KAUST Finance and ensuring adequate oversight of all budget matters, ensuring the Dean is appropriately informed and advised.
Development of system of reporting on students housing issues and student housing information for reporting to senior management.
Deliver improved tools Lead cross-functional teams for Admissions, Current Student and Alumni information that ensure information can reported to all key stakeholders through an integrated platform using Business Intelligence and other contemporary reporting tools.
Provide student financial services that meet inte
ally recognized accounting standards. This includes accounts payable and receivable functions (i.e., cash advances, reimbursements, and sponsorship revenue).
Leading the development and implementation of Graduate Affairs policies and procedures.
Lead activities and cross functional groups with other areas of KAUST (eg. Divisions, Research Centers, HR, Finance, Housing, Security) to reduce policy gaps and/or weaknesses on student matters, particularly in relation to logistical, risk management and financing issues.
Manage student exits, to ensure that all students that have completed their academic requirements complete all aspects of the exit from KAUST efficiently (ie., retu
of assets, IDs; cessation of entitlements and housing; and refunds of any housing bonds).
Developing, reviewing and executing planned improvements and greater cost effectiveness in Graduate Affairs logistical services, eg., travel; staffing; use of consultants, inte
ships and student Visa processing.
Lead and direct the improvement, analysis and review of the use of corporate systems (in liaison with IT) to be used by Graduate Affairs.
Development, implementation and maintenance of Graduate Affairs risk registers, business continuity management plans, operational and workforce plans, consistent with KAUST policies and directives.
Work closely with Human Resources to develop Organizational Chart revisions, Job Descriptions and recruitment activities in line with budget, operational and workforce plans.
Lead the development of continuous improvement activities to data integrity and general efficiencies. This includes developing improved communication processes with staff and students on Graduate Affairs activities and content through the web and portal and other forums.
Manage the relationship between KMC and IMC in relation to student issues, in particular in identification of high risk health status students and responses during onboarding process and risk and insurance matters
Other duties within the range of skills normally associated with this type of position, as required.
Competencies:
More than 10 years’ experience in a similar role.
Exceptional communication, interpersonal and negotiation skills.
Well-developed understanding of high-end computing applications, reporting applications and ERP systems.
Experience of performance management systems and reporting.
A sound understanding of inte
ationally recognised accounting practices and standards.
Thorough knowledge of organisation-wide planning, budgeting and risk management processes.
Extensive experience in the preparation, interpretation and presentation of detailed business reports.
Broad experience in the development, and implementation of new policies and procedures.
Strong leadership and people management skills.
Proven project management and business process reengineering expertise.
Sound Knowledge and/or experience of University operations, systems and funding.
Qualifications:
Education, training and relevant experience equivalent to the completion of a relevant Business or Commerce postgraduate qualification, combined with extensive expertise in system development, business intelligence, risk management, auditing, planning, finance, project management, systems development and procurement.
