Role Purpose: To provide technical and coordination support in maintenance of electronic equipment. This role is also responsible for day to day operations of FMO Call Centre, IDB Copy Centre, and Resource Reservation System for Meeting Rooms and IDB digital signage system.
Key Accountabilities & Activities:
Participate in annual budget preparation by providing cost estimates based on quotations from vendors.
Apply the established work framework and guidelines to administration of the operation and maintenance of the FMO Call Centre, IDB Copy Centre, and Resource Reservation System for Meeting Rooms and IDB digital signage system.
Participate in Evaluation Technical Committees for supplying new office equipment and participate in recommending equipment and machinery.
Document and maintain the technical documentation for all aspects of the Electronic and Meeting Rooms facilities, operations and monitoring.
Contribute to the design of enterprise backup and recovery procedures.
Plan, prioritize and schedule office equipment maintenance requests and assign work to the technical conce
ed staff to respond.
Handle warranty repairs with vendors, send the equipment under warranty in case of any problem and follows up on ongoing problems.
Monitor and inspect adequate operation of all electronic equipment, machinery, and tools through networking system.
Oversee purchase and supply of spare parts for the machines to the technicians up to a limited amount.
Monitor power supply system for adequate operations of the main electric transformers, load of electricity, and report daily to the Division Manager.
Oversee photocopying and streamline work process for timely completion of all meeting documents including BED documents.
Plan, prioritize and schedule copy machines maintenance requests and assign work to the technical conce
ed staff to resolve the problems for all photocopy machines in the IDB Group.
Monitor and take corrective measures all photocopy machine operations.
Plan, prioritize and schedule signage system requests and assign work to the technical conce
ed staff to respond.
Design and edit the signage items layouts in collaboration with the requesting departments.
Oversee and monitor publication of all media files that received to all screens.
Undertake period maintenance and up gradation of the system, as needed.
Ensure facilitation of Meeting Room reservations, and Simultaneous Interpretation (audio) and Visual System for all meeting rooms on IDB Group.
Record the meeting proceedings (audio, video) and administer safe-keeping of the recordings and the IDBG Main Server.
Ensure provision of Laptops, projectors, portable screens, sound system for all the events in all the meeting rooms.
Contribute to detection and resolution of software problems in the meeting rooms systems, locates, finds the cause and quickly/efficiently applies a fix.
Ensure that all SIS equipment in all meeting rooms are in good operating condition all the time, in Coordination with the designated maintenance contractors of SIS equipment.
Participate in proper operation of all the video-audio systems during the IDB annual meetings.
Assign junior staff and vendor representatives to ensure provision of efficient and quality office equipment and photocopying services.
Schedule and distribute the work among the staff and contractors to ensure that they accomplish their work to the set schedule and assure the quality of any output produced.
Contribute to drafting RFPs for procurement of electronic equipment.
Communicate with venue management for logistical arrangements for events held outside of IDB premises.
Assist in defining technical specifications for equipment required in new/refurbished offices at IDB.
Administer petty cash for routine repairs and purchasing needs.
Coordinate between vendor and conce
ed division during installation, upgrading, repairs, and projects of similar nature.
Maintain all the information in the system and maintains historical database of the requests received.
Keep a record for office equipment maintenance in order to coordinate with the contactor and follow up the maintenance frequencies times.
Coordinate directly with the Purchasing Division for Computer Accessories, Photo-coping machines SIS equipment, laptops…etc.
Extract monthly reports on the operation of FMO Call Centre and all other activities to report on quantity and nature of requests received, items resolved, etc.
Reporting on the performance and progress of contractors to division manager.
Identify and maintain the vendor information related to the FMO Call Centre, IDB Copy Centre, and Resource Reservation System for Meeting Rooms and IDB digital signage system and services.
Coordinate with vendors for issues related to the physical installation of equipment.
Report problems to the appropriate equipment vendor and follow up on the resolution.
Formulate RFI, RFQ, and RFP documents related to the subject facilities, operations or monitoring procurements.
Contribute to negotiation with vendors and formulation of the technical scope of vendor contracts with service level agreements to ensure that delivery and support services meet business requirements.
Job Requirements: Field of Study : Electrical Engineering / Electronic Engineering / any relevant discipline Working Experience: 5 years of relevant experience with Bachelor degree, 2 years with Master degree.
