الوصف الوظيفي
ROLE PURPOSE: The role of Scholarship Program Associate is to provide support to senior staff members in the development and administration of the scholarship program and to coordinate and facilitate communication between scholarship recipients, relevant education authorities and IDB departments. KEY ACCOUNTABILITIES & ACTIVITIES: Provide technical and administrative support in the development of annual work plan and budget of the Division. Collect and compile the data for the strategy and impact studies related the Division’s programs, namely: - Scholarship Program for Muslim Communities in Non-Member Countries (SPMC)- M.Sc Scholarship Program in Science and Technology for Least Developed Member Countries (MSc)- Merit Scholarship Program for High Technology – for all member countries (MSP)- Community Development Program (CDP)- Guidance and Counselling activities (for students)- Alumni Development Activities (ADA) Activities (for graduates)- Capacity Building Activities (for graduates and partners on field) Assist in development, implementation and improvement of processes and procedures related to assessment of candidates. Support senior staff in the design and implementation of activities for CDP for various stakeholders such as: - Guidance & Counselling Activities (GCA) for Students- Alumni Development Activities (ADA) for Graduates- Capacity Building Activities (CBA) for Partners Maintain database of all existing and potential partners Periodically update database of Graduates Directory for each country Respond to queries by scholarship applicants Draft terms of references, legal drafts and memos as required by Division Manager and senior staff. Receive and verify applications in terms of completeness for different scholarship programs and community development program as per established guidelines. Assist in developing awareness programs for the SPMC, MSP, MSc scholarship programs and CDP and support in their implementation. Assist in preparing shortlists of eligible candidates and process applications for review and approvals. Follow up on disbursements, reimbursements, insurance payments and other support services to the Counterpart Organizations (CPOs), IDB Education Trusts (IETs), IDB Graduates’ Associations (IGAs), IDB Students’ Associations (ISAs), universities, Honorary Students’ Counsellors (HSCs) and students/scholars. Monitor payments, record in the General Ledger, reconcile and coordinate with exte
al Banks based on SAP system. Assist in Planning and implementation of annual General Committee Meetings (2), Executive Committee Meetings (10), Excellent Performance Award, Excellent Leadership Award and Community Development Workshop. Provide clarifications to recipients during the scholarship program tenure. Update the knowledge repository of the division with lessons lea
t provided by the division staff. Develop a list of professional trainers and service providers. Maintain e-library of knowledge resources for Scholarship Division. Prepare periodic and ad-hoc reports as and when requested by the management, such as, annual report for the General Committees, reports for Executive Committees, Division’s input for IDB’s Annual Report, Information Brochures. Initiate publication of Amanah and other related information documents. Compile performance reports of the selected candidates during their scholarship tenure. Assist in coordination with individuals, groups, organizations, societies in member and non-member countries, for providing scholarship to the selected recipients. Annually update directory of Excellent Performance Awards (EPA), Annual Excellent Leadership Award (ELA) and the Community Development Workshops (CDWs) Respond to emails, letters, telephone queries from prospective applicants seeking scholarships; ensure proper maintenance and archival of all information exchanges.
