Job Title Business Administrator
Job Type Non-Academic
Job Summary
The Business Administrator will work with faculty, Sr. Business Manager, and other staff to provide operational support, communication of policies, and central reporting.
Major Responsibilities
• Acts as a liaison for the CEMSE with human resources department and other departments on all CEMSE employee related issues;
• Responsible for support services relating to recruitment and hiring of research staff in Divisions and affiliated centers;
• Assist Dean and Senior Business Manager in streamlining the operation within the Division and in collaboration with HR;
• Ensures compliance with University policy and procedures within CEMSE;
• Supports on boarding of new faculty and staff in the Division and affiliated Centers;
• Handles and collates confidential information on divisional staff
• Coordination with Facilities and Community, Human Resources and University Relations;
• Liaise with staff in other departments both inte
al and exte
al contacts as required to resolve any division related issues assigned;
• Maintain continuity of work operations as per university’s and Division’s guidelines, policies and procedures. Keen to document and communicate operational gaps and needed actions to management on a timely fashion based on a continuous improvement approach;
• Maintain archiving system and assist on file retrieval as required. Ensures full compliance for audit purposes;
• Support Division growth and change initiatives as per the Dean’s and Senior Business Manager’s directions;
• Use and create if required standard templates for regular operational transactions and departmental activities to maximize efficiency and reduce tu
around time;
• Maintains Divisional email distribution lists as required;
• Tracks time management and reporting for all personnel within the division;
• Coordinates preparation and maintaining of staff profiles;
• Point of contact for Center Directors and Divisional faculty for information relating to HR, KAUST portal, expense reimbursements, procurement system, etc;
• Undertake other duties, temporarily or on a continuing basis, as may be required.

Required Education Bachelor Degree
Required Experience Minimum 5 years of experience in general/ HR business administration
Experience in a University environment preferred.
